Better Numbers Internal Applications
Privacy Policy

This policy covers the internal software applications operated by Chris Hervochon, CPA, CVA LLC (“Better Numbers,” “we,” “us”), including applications that connect to third-party business platforms our clients use — such as Intuit QuickBooks Online, payroll providers, and similar services. It supplements our website privacy policy, which governs betternumbers.cpa itself.

What these applications are

Our applications are internal tools used exclusively by authorized Better Numbers personnel to deliver accounting and advisory services to our clients. They are not offered to, or usable by, the general public. The specific platforms we connect to may change over time; this policy applies to any third-party service a client authorizes us to access.

What data the applications access

Our applications access a client’s data on a third-party platform only with that client’s explicit authorization — typically granted when the client’s platform administrator approves a secure OAuth connection (for example, connecting a QuickBooks Online company). Depending on the services engaged, this data may include:

  • Accounting data, such as journal entries, transactions, and account balances;
  • Payroll data, such as payroll journal details and employee compensation information, where a client uses a connected payroll platform;
  • Related business records needed to perform the engaged services.

In every case, we access only the data needed to perform the services the client has engaged us for.

How we use it

Client data is used solely to deliver the services described in our engagement with that client. We do not use it for advertising, do not sell it, and do not share it with third parties except the cloud infrastructure providers described below or where required by law. We may also use anonymized, aggregated data — never identifying any client — for benchmarking and similar analytical purposes, as authorized in our client engagement agreements.

Storage and security

  • Authorization credentials (such as OAuth tokens) are encrypted at rest — currently using AES-256-GCM — and in transit using TLS/HTTPS.
  • Applications and data are hosted on Google Cloud Platform in the United States, protected by enterprise sign-on; only authorized Better Numbers personnel can access them, on a least-privilege basis.
  • All administrative actions in our applications are audit-logged.

Professional obligations

As a licensed CPA firm, we are bound by professional confidentiality standards, including the AICPA Code of Professional Conduct and, where applicable, the tax-information confidentiality requirements of Internal Revenue Code §7216.

Revoking access

A client may revoke our applications’ access to any connected platform at any time — by disconnecting the app from within that platform (for example, from QuickBooks Online or their Intuit account) or by asking us to disconnect it. Upon disconnection, the stored authorization tokens are deleted or rendered permanently unusable. We retain working papers and records in accordance with our retention policies, professional standards, and applicable law.
